This policy explains what information we handle in connection with LMS-POS and our integrations with third-party delivery platforms, why we handle it, and what choices are available.

Who this policy is for

Our customers are retail businesses — liquor stores, convenience stores and similar independent retailers. This policy describes how we handle their business information.

We are not a consumer-facing service. If you placed an order through a delivery platform such as Uber Eats or DoorDash, that platform holds your personal information and its own privacy policy governs it. We receive only the information a store needs in order to fulfil an order, as described below.

What information we handle

Store and business information

Information about the retail business we provide software to:

  • business name, trading address and contact details
  • store identifiers issued by delivery platforms
  • authorisation tokens permitting us to act on the store’s behalf with a platform the store has connected

Product and inventory information

Information drawn from the store’s own point-of-sale database in order to list its products on a delivery platform the store has chosen to use:

  • product names, descriptions, sizes and brands
  • barcodes and product identifiers (UPC, EAN, GTIN)
  • categories and departments
  • prices, including any delivery-channel pricing the store has set
  • stock levels and availability
  • age-restriction flags for alcohol, tobacco and similar regulated products

This is the store’s own business information. It is not personal information about any individual.

Order information

When a customer places an order with a store through a connected delivery platform, we receive from that platform the information the store needs to fulfil it:

  • an order reference and the items ordered
  • the quantities, prices and order total
  • whether the order contains age-restricted items requiring identification at handover
  • fulfilment status and timing

We do not receive or store delivery-platform customers’ payment card details. Where an order includes a customer name or delivery details supplied by the platform, we handle it only to pass the order into the store’s point-of-sale system so the order can be fulfilled.

Technical information

We keep operational records needed to run and support the service: timestamps of synchronisation runs, counts of records transferred, and error messages. These support diagnosis when something does not work.

Why we handle it

Purpose What it involves
Providing the software Operating LMS-POS and its integrations for the store
Synchronizing catalogues Sending the store’s product, price and availability information to delivery platforms the store has connected
Delivering orders Passing orders from a platform into the store’s point-of-sale system
Support and diagnosis Investigating faults reported by the store
Legal and regulatory compliance Including age-restriction requirements for alcohol and tobacco

We handle this information to provide a service the store has asked us to provide. We do not use it for any independent purpose of our own.

Who we share it with

Delivery platforms the store has connected. Where a store chooses to sell through Uber Eats, DoorDash or a similar platform, we send that platform the product information needed to list the store’s items, and receive orders back. We send only that store’s information, and only to platforms that store has authorised.

Nobody else, except where required by law or by valid legal process.

We do not:

  • sell information to anyone
  • use it for advertising or marketing, our own or anyone else’s
  • share one store’s information with another store
  • use one customer’s information to benefit another

The store’s control

A store decides what is sent. LMS-POS provides controls to include or exclude individual products, whole departments, or the store’s entire catalogue from any connected platform. Nothing is sent that a store has excluded.

A store may disconnect a platform at any time, after which we stop sending its information to that platform.

How long we keep it

Product and catalogue information is held for as long as the store uses the integration, and is refreshed from the store’s own system. It is not retained after the integration is removed.

Order information is held for as long as the store requires it for its own records and for any period required by law.

Operational logs are held for a limited period to support diagnosis, and are deleted in the ordinary course.

Where a store ends its relationship with us, we delete or return its information on request, except where we are required to retain something by law.

How we protect it

Connections to delivery platforms use encrypted transport. Authorisation credentials are held securely and are not exposed to third parties. Access is limited to personnel who need it to provide or support the service.

Product and order information for a store normally resides on that store’s own systems rather than ours.

No system can be guaranteed completely secure, but we take reasonable measures appropriate to the information involved.

Rights and choices

Stores we provide software to may:

  • ask what information we hold about their business
  • ask us to correct anything inaccurate
  • ask us to delete information, subject to legal retention requirements
  • disconnect any delivery platform at any time
  • withdraw authorisation for us to act on their behalf with a platform

To exercise any of these, contact us at contact@comproboston.com.

If you are a consumer who ordered from a store through a delivery platform, contact that platform directly. They hold your personal information, not us.

Children

Our software is provided to businesses and is not directed at children. We do not knowingly collect information about children.

Some of our customers sell age-restricted products. Where a delivery platform requires verification of a purchaser’s age, that verification is performed by the platform and its delivery partner, not by us.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. Where a change materially affects how we handle a store’s information, we will tell the affected stores.
